It's in the system, but not in the warehouse.
If the quantity is wrong every time the inventory is checked, the cause is usually determined. We have organized five causes and how to catch each one regularly, not after the fact.
Find it by quarterly actual shooting vs catching it at ordinary times
The time when the difference is known determines the range of responseability.
Quarter inventory inspection
- I didn't know about the mismatch until a few months later.
- Difficulty in recalling the time of the cause
- It takes a few days to count all the items.
- Cover the difference with adjustment processing and end.
Constant contrast
- Check the items that are inconsistent at that time.
- Present the suspected cause together.
- Secure the target list with one line of questions.
- The actual product is lighter for verification.
What are computer inventory and physical inventory?
Computerized inventory is the quantity recorded in systems such as ERP and Excel, and actual inventory is the quantity actually counted and verified in the warehouse. Inventory verification is a procedure to check whether these two are consistent, and when they are inconsistent, it is called inventory discrepancy.
There are far more cases where discrepancies occur because the movement of the physical object is not recorded in the system in time than when it occurs because the inventory disappears. Therefore, in order to find the cause, you need to go back and check when the discrepancy started, but only real-time data taken every quarter cannot determine that point in time.
Why is it wrong? Five causes
1 Missing inventory records — This occurs when goods are received but not processed in ERP or when samples and gifts are omitted from inventory. It is the most common.
2 Unit conversion error - This is when the conversion standard is set differently when entering in boxes (BOX) units and shipping as individual units (EA). There is a big difference at once.
③ Unregistered damage/disposal — This is the case where the damage occurred during the warehouse transfer, but it was left as it was without being disposed of by the system.
④ Order channel dispersion — If orders are scattered in KakaoTalk, text messages, emails, Excel, and PDFs, and the person in charge collects and organizes them later, the confirmed orders will be reflected in the system late. If this delay accumulates, it will continue to be inconsistent.
⑤ Designated location not set — If the location of the item is not set, the item will be treated as missing if it cannot be found during the actual inspection.
Can you see what's wrong before the live broadcast?
Yes, because we can capture the time when the relationship between the shipping speed and the inventory quantity is broken in data. If the shipment continues but the inventory does not decrease, or if the total EA shipment after BOX entry does not match the conversion value, the item is likely to have an incorrect record.
The inventory Copilot replaces this contrast with a single question. If you ask, 'Please pick out the items that differ between the computer inventory and the actual inspection,' it will organize and show the mismatched items and estimated causes (unprocessed incoming goods, BOX/EA conversion, etc.) together. Although the actual inspection should still be done, the purpose is to reduce the situations that are first discovered during the actual inspection.
